Team Assistant* Clinical Development 

 

The Team Assistant demonstrates ability to work in a fast-paced, results-oriented environment. You will be navigating and coordinating meetings, logistics and team management tasks across time zones

 

Your main responsibilities are:

  • Administrative support in daily business and projects
  • Scheduling for Senior Staff (Vice President and Senior Director Level) 
  • Line management of junior team assistants
  • Time recording, operational finance management
  • Oversee and support the administrative team processes, as well as on-boarding of new employees (both in Germany and US)
  • Other administrative tasks (e.g. assist with expert advice on best administrative practices in recording and archiving of meeting minutes, handling of drafts of controlled documents and oversee the use of MS TEAMS folders)
  • Collaborate with healthcare professionals, organizations, and stakeholders to identify event objectives, themes, and target audiences. Develop comprehensive event plans, including budgets, timelines, and logistical arrangements
  • Provide event support, both virtual and in-person, and ensure feedback is received and incorporated to improve future events.

  • Negotiate contracts with vendors and suppliers to secure event services within budget constraints.


What you have to offer.

  • Business education or an equal professional qualification in administration
  • Some years of experience in an administrative function; previous work experience in the pharmaceutical industry experience is a plus
  • Written communication in a clear and precise style 
  • Excellent organizational and planning skills
  • Experienced in MS Office applications, communication and time management tools
  • Working in a team characterizes you
  • Fluent in German and English, both spoken and written; mastering additional languages may be an advantage
