Senior Administrative Assistant – External Innovations
BioNTech is seeking a highly motivated Senior Administrative Assistant to join our growing External Innovations team based in our Cambridge, MA Office. In this exciting position you will be responsible for administrative support to the Senior Executive and the External Innovations team.
- Provide administrative support including but not limited to scheduling of meetings across multiple time zones, arranging travel, managing calendars, expense reporting, and coordination off-site meetings.
- Act as an integrated team member with the Administrative Operations team, providing ongoing and proactive administrative support, including planning and execution of companywide meetings
- Support the External Innovations team with meeting coordination, presentations, and day to day support.
- Maintain up to date organizational information for department (organizational charts, etc.)
- Prioritize and complete support requests in a timely manner (i.e. issues with IT, systems, facilities, etc.).
- Review and process CDAs, ensuring that they are executed in a timely manner and in accordance with BioNTech's guidelines.
- Maintain and track the status of CDA’s and follow-up with internal and external parties as needed to ensure timely execution.
- Provide general administrative support to other departments or team members as needed
Minimum requirements
- High School Diploma; bachelor’s degree desired.
- Minimum of 5 years administrative or comparable experience ideally in a fast-paced, dynamic, professional environment.
- Demonstrates ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and supports business needs across different time-zones and during periods of heavy workload.
- Ability to multi-task and adapt quickly to competing priorities while remaining focused.
- Experience in working with international teams is desirable.
- Must have a positive “can do” attitude, be a consummate team player, show excellent judgment as well as work well independently.
- Proficiency in Microsoft office (Word, Outlook, Excel, PowerPoint), and SharePoint.
- Concur Travel and T&E experience strongly desired
- Must have strong written and verbal communication skills including attention to detail and ability to effectively multi-task with a willingness to perform a wide range of tasks including working with confidential information.
- Experience in the life science industry
- Flexible work arrangement with some on-site presence.
